These terms govern the use of Olympus, the AI hotel operations platform that Horizon AI Agency LLC provides to hotels and their staff. By creating an account or using the platform you accept these terms.
Olympus is a platform for hotels that includes a management dashboard, a staff application, an AI virtual assistant called Apollo and a WhatsApp Business integration to talk to guests. The service is contracted per hotel through a specific agreement or order, which prevails over these terms where it regulates the same matter.
To use WhatsApp through Olympus, the hotel connects its own Meta WhatsApp Business Account through Facebook Login for Business. The hotel owns that account and the phone number, and authorises Horizon AI Agency LLC to operate them on its behalf for the duration of the service.
The hotel undertakes to comply with the WhatsApp Business Policy and Meta's messaging policies: send only messages the guest expects to receive, respect their consents and not use the channel for content Meta prohibits. WhatsApp conversation fees are charged by Meta to the hotel under Meta's own terms, unless the contract states otherwise.
The hotel can disconnect its WhatsApp account at any time from the Olympus settings.
Apollo generates automatic replies from the information the hotel configures and from the conversation history. Its replies may contain errors. The hotel is responsible for reviewing the information it uploads, supervising the channel and personally handling situations that require it, especially emergencies. Olympus does not replace the hotel's safety protocols.
The processing of personal data is governed by the Olympus Privacy Policy and by the data processing agreement signed with the hotel. For guest data, the hotel is the controller and Horizon AI Agency LLC the processor.
Olympus, its software, trademarks and documentation belong to Horizon AI Agency LLC or its licensors. The hotel receives a limited, non-exclusive, non-transferable licence to use the platform for the term of the contract. The data the hotel enters remains the hotel's.
We work to keep Olympus continuously available, but there may be interruptions due to maintenance, incidents or causes beyond our control, such as outages of Meta services or other providers. We may improve or modify platform features; we will give advance notice of changes that substantially reduce the contracted service.
To the extent permitted by law, Horizon AI Agency LLC's liability to the hotel for any claim arising from the service is limited to the amount paid by the hotel in the twelve months before the event giving rise to it, and excludes loss of profit and indirect damages. Nothing in these terms limits liability that cannot legally be limited.
The service lasts for the term set in the hotel's contract. Either party may terminate it for a material breach by the other that is not cured within 30 days of notice.
After termination, Horizon AI Agency LLC keeps the hotel's data for a maximum of 30 days solely to allow recovery or export. It is then deleted from active systems and removed from backups within 90 days at most, unless a legal retention obligation applies.
These terms are governed by the laws of the State of Florida (United States), without prejudice to mandatory rules that protect the hotel in its own country, including European data protection law where applicable. Before going to court, the parties will try to resolve any dispute in good faith.
We may update these terms. We will publish the current version on this page with its date and will notify hotels of relevant changes at least 30 days in advance.
